Accounting Export and Invoice Transmission

ABCinvoice.eu allows you to easily export your invoices in different electronic formats so they can be transmitted to your accounting software or shared with your partners.

 This feature has been designed to provide flexibility, compatibility, and ease of use, whether you are exporting a single invoice or a batch of invoices.

Individual Invoice Export

For each invoice—whether it is a customer invoice or a supplier invoice—you can download the documents directly from the “Download PDF” menu.

Several formats are available:

• PDF: standard format for viewing and archiving.
• UBL (Universal Business Language): international electronic invoicing standard, compatible with most accounting systems.
• Factur-X: a hybrid format combining a readable PDF with a structured XML file for automated integration into accounting software.

These formats can be used simultaneously, allowing you to keep a human-readable version while enabling automated processing by accounting systems.

Exporting Multiple Invoices

When you want to export several invoices at the same time, the Export button allows you to generate a batch of invoices based on different criteria:

• Invoice type (customer or supplier)
• Status
• Period (start date and end date)

For example, this allows you to export all invoices from a specific month or period to send them to your accountant or import them into your management software.

Two Types of Export Available

Two export formats are available to accommodate different accounting needs.

1. Excel Export

The Excel format (.xlsx) generates a file containing one summary line per invoice.

This format is particularly useful for:

• accounting analysis,
• reporting,
• importing data into certain management software,
• quickly sharing an overview of invoices.

2. ZIP Export (PDF + UBL)

The second export format generates a compressed (.ZIP) file containing:

• the PDF of each invoice
• the corresponding UBL file

This format is compatible with most accounting software and allows automated integration of invoices into management systems.

ZIP Export Process (Asynchronous)

The ZIP export works asynchronously.

This means the file is not generated instantly. Once the request is launched:

1. The system prepares the export in the background.
2. When the generation is complete, the file appears in the “ZIP Exports” menu.
3. You can then download it directly.

This process allows the platform to efficiently handle large volumes of invoices without slowing down the system.
